Privacy Policy

This Privacy Policy explains how personal information is processed through the Techsbook software platform, including its websites, applications, booking portals, APIs, integrations, and communications tools.

Scope and who we are

This Privacy Policy applies to personal information processed through techsbook.com and the Techsbook-operated software, customer and technician applications, booking portals, APIs, enterprise integrations, communications tools, and related technology (collectively, the “Techsbook Platform” or the “Platform”).

Techsbook, Inc. provides the Techsbook Platform. References to “Techsbook,” “we,” “us,” and “our” in this Policy refer to Techsbook, Inc. in its role as the provider and operator of the Platform. The Platform is the software infrastructure through which participating parties carry out and document their respective responsibilities. It should not be understood as the operational services provider for every project or transaction conducted through it.

Separate role of Veterans Fleet Management LLC. Veterans Fleet Management LLC d/b/a Techsbook Telematics (“Techsbook Telematics”) is a separate legal entity from Techsbook, Inc. Techsbook Telematics uses the Techsbook Platform to perform operational services that may include customer support, project coordination and planning, technician support, and quality reviews intended to help customers receive high-quality services. Techsbook Telematics is a user of the Platform and is not the Platform itself.

Customers, technicians, fleets, telematics providers, resellers, Techsbook Telematics, and other authorized organizations may each use the Platform in different roles. Depending on the context, one of those parties may determine why and how personal information is processed and may provide its own privacy notice. In some enterprise engagements, Techsbook, Inc. processes personal information on behalf of the relevant business customer.

This Policy does not cover independent third-party websites, products, or services linked from the Platform. It also does not replace any separate notice provided to employees, contractors, or job applicants.

Information we collect

The information processed through the Platform depends on your relationship with Techsbook, Inc. and the other parties using the Platform. It may include:

Identity and contact information

Name, business name, job title, email address, telephone number, billing or service address, and customer-designated contacts.

Account information

Login credentials, account role, preferences, authentication records, consent records, and communications settings.

Booking and installation information

Appointment dates and locations, device and service details, vehicle or fleet identifiers, work orders, technician assignments, approvals, status updates, completion records, photos, notes, and signatures.

Technician information

Professional profile and qualifications, service area, availability, work history, job documentation, ratings, support communications, and payment or tax information when required.

Transaction information

Purchases, invoices, refunds, payment status, and limited payment-related information received from payment processors. Payment processors may collect payment-card or bank information directly under their own notices.

Location information

Service addresses, technician service areas, and - when enabled and permitted - device location used for routing, arrival, job coordination, safety, or verification.

Communications and content

Support requests, emails, calls, text messages, form submissions, feedback, attachments, and other content you send through the Platform.

Device and usage information

IP address, browser and device type, operating system, app or page activity, referring pages, timestamps, cookie identifiers, diagnostics, and security logs.

Integration data

Information received through APIs, customer systems, telematics providers, CRM platforms, resellers, or other integrations authorized by a customer.

Derived information

Operational insights inferred from the information above, such as service coverage, technician availability, account activity, and job performance.

Sources of information

We may collect information:

  • directly from you or an authorized account administrator;
  • from customers, technicians, fleet operators, providers, resellers, or partners;
  • automatically from browsers, devices, apps, cookies, and similar technology;
  • from payment, identity, communications, analytics, support, and security providers; and
  • from public sources or other sources permitted by law.

How information is used through the Platform

The Techsbook Platform processes personal information to provide the shared technology, workflows, and records used by authorized parties. Depending on a user's role and permissions, the Platform may enable users to:

  • create, administer, authenticate, and support accounts;
  • submit, schedule, route, assign, coordinate, document, and record completion of installation jobs;
  • exchange authorized information among customers, customer-designated contacts, technicians, providers, and partners;
  • send appointment confirmations, technician approval requests, reminders, status updates, and support communications;
  • process payments, invoices, technician payouts, refunds, and related records;
  • operate APIs and integrations requested or authorized by customers;
  • support customer service, project coordination, technician assistance, troubleshooting, and quality review by the responsible authorized party;
  • record service quality information, verify completion, improve coverage, and develop the Platform;
  • protect users, vehicles, accounts, systems, and the Platform from fraud, misuse, security threats, and unlawful activity;
  • enforce agreements, resolve disputes, establish or defend legal claims, and comply with law; and
  • send marketing communications where permitted, subject to your choices and applicable law.

These software functions do not mean that Techsbook, Inc. performs every operational action recorded in the Platform. The customer, technician, provider, Techsbook Telematics, or another authorized party may perform the underlying operational work using the Platform.

How we disclose information

We may disclose personal information as reasonably necessary for the following purposes. We do not disclose personal information merely because a third party asks for it.

  • Customers, technicians, and designated contacts. We share job, contact, scheduling, location, and completion information needed to coordinate and perform requested services.
  • Techsbook Telematics as a separate operations provider. When Veterans Fleet Management LLC d/b/a Techsbook Telematics is engaged to provide customer support, project coordination or planning, technician support, or quality reviews, it may access and use Platform information reasonably necessary for those services. Its access is based on its role as an authorized Platform user and separate service provider, not as the Techsbook Platform itself.
  • Enterprise customers and authorized integrations. We disclose information to the fleet, provider, reseller, partner, or system that submitted, manages, or receives status for a job, as directed by the relevant customer.
  • Service providers. Vendors may process information for hosting, cloud storage, communications, payment processing, technician payouts, analytics, customer support, fraud prevention, security, professional services, and similar business operations under contractual or legal restrictions.
  • Legal and safety purposes. We may disclose information when we reasonably believe it is necessary to comply with law or legal process; protect rights, safety, and property; prevent fraud or abuse; or investigate security incidents.
  • Business transactions. Information may be disclosed in connection with a financing, merger, acquisition, reorganization, sale of assets, bankruptcy, or similar transaction, subject to appropriate safeguards.
  • At your direction or with your consent. We disclose information when you direct us to do so, authorize an integration, or otherwise consent.

Advertising and state-law “sale” or “sharing.” Techsbook does not sell personal information for money. Some analytics or advertising technologies may be treated as a “sale,” “sharing,” or targeted advertising under certain state laws, even when no money changes hands. Where applicable, you may opt out using the privacy choices made available on the Platform or by contacting us as described below.

Service communications

SMS/Text Messaging

The Techsbook Platform sends or facilitates text messages to customer-designated contacts who explicitly opt in during account setup, for service-related notifications including technician visit approval requests, appointment confirmations, and status updates. Messages may be generated through the Platform at the direction of the relevant customer or an authorized operational service provider. Message frequency varies by account activity. Message and data rates may apply. Reply STOP to unsubscribe or HELP for assistance.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all data sharing, selling, or disclosure described elsewhere in this policy, and will not be shared with any third parties or lead generators at any time.

We may use communications service providers solely to deliver and support the Platform messaging functionality. The Platform maintains opt-in and opt-out records as reasonably necessary to administer messaging, demonstrate consent, and comply with law. Opting out of text messages does not prevent the relevant customer, provider, or authorized support organization from contacting you through other permitted channels, and it may limit the availability of text-based service updates.

Cookies, analytics, and similar technology

Techsbook, Inc. and its service providers may use cookies, pixels, software development kits, local storage, and similar technology to keep the Platform functioning, remember preferences, authenticate users, protect accounts, understand usage, measure performance, troubleshoot issues, and support marketing.

These technologies generally fall into the following categories:

  • Essential: required for security, authentication, navigation, and requested features.
  • Functional: remember settings and improve convenience.
  • Analytics: help us understand traffic, use, and performance.
  • Advertising: help measure campaigns or present more relevant advertising where permitted.

You can control cookies through browser settings and any cookie or privacy preference tools we make available. Blocking some technologies may affect how the Platform functions. Where required by applicable law, we process recognized browser-based opt-out preference signals, such as Global Privacy Control, as a request to opt out for the browser and device that sends the signal.

Your choices and privacy rights

Account and communication choices

  • Update certain account information and communication preferences through your account, when available.
  • Unsubscribe from marketing email using the link in the message.
  • Opt out of text messages as described in the SMS/Text Messaging section.
  • Control cookies through browser settings and any privacy preference tool provided on the Platform.

U.S. state privacy rights

Depending on where you live and subject to applicable exceptions, you may have the right to request access to or confirmation of the personal information we process; obtain a portable copy; correct inaccuracies; request deletion; opt out of sale, sharing, targeted advertising, or certain profiling; limit certain uses of sensitive personal information; and receive equal service without unlawful discrimination for exercising a privacy right.

To submit a request, email support@techsbook.com or call 888-288-0871. Please describe the right you wish to exercise and the account or relationship involved. We may need to verify your identity and authority using information associated with your account or request. We will use verification information only for verification, fraud prevention, and compliance purposes.

Where permitted, an authorized agent may submit a request on your behalf. We may require proof of authorization and may contact you directly to verify the request. If we deny a request, residents of certain states may appeal by replying to our decision or emailing the address above with “Privacy Appeal” in the subject line.

California disclosures

The categories of personal information described in Section 2 correspond to identifiers; customer records; commercial information; internet or other electronic network activity; geolocation data; professional or employment-related information; audio, electronic, visual, or similar information; and inferences. Some location, account-access, financial, or communications data may be considered sensitive personal information under applicable law. We use sensitive personal information only as reasonably necessary to provide requested Platform functions, process transactions, maintain security, prevent fraud, verify job completion, comply with law, or as otherwise permitted with appropriate notice or consent.

In the preceding 12 months, we may have collected and disclosed the categories described in this Policy for the business purposes described in Sections 3 and 4. We do not knowingly sell or share the personal information of consumers under 16.

Data retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including to provide the Platform, maintain business and transaction records, meet customer commitments, resolve disputes, enforce agreements, protect security, and satisfy legal, tax, accounting, insurance, and compliance obligations. Retention may vary based on the information and context.

When information is no longer required, we take reasonable steps to delete, deidentify, or securely dispose of it, subject to backup cycles and legal holds.

How we protect information

We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, authentication, encryption in transit where appropriate, monitoring, vendor controls, employee training, and incident-response procedures.

No transmission or storage method is completely secure. You are responsible for protecting your credentials, using unique passwords, and notifying us promptly if you suspect unauthorized account activity.

Children's privacy

The Platform is intended for businesses and adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact us so we can review and take appropriate action.

Data transfers

Techsbook, Inc. is based in the United States. If you access the Platform from another country, your information may be transferred to, stored in, or processed in the United States or other countries where Techsbook, Inc. or its service providers operate. Data protection laws in those locations may differ from those where you live. Where required, we use appropriate safeguards for cross-border transfers.

Changes to this policy

We may update this Privacy Policy to reflect changes in the Platform, practices, technology, or legal obligations. We will post the updated version and change the “Last updated” date. When required by law, we will provide additional notice or obtain consent before a material change takes effect.
